Private beta terms

About these terms

These terms explain the rules for the current private beta. They are intended for authorised users testing Wadmin with participating university sports clubs. They are not a substitute for the final commercial service agreement that will be required before a paid rollout.

The final contracting legal entity, service address and commercial terms have not yet been established and are therefore not invented in this document.

Access to the beta

Access is limited to invited or otherwise authorised users. An account does not automatically give access to a club workspace or a particular committee role. Permissions are set per club and can be changed or removed when responsibilities change.

Keep your sign-in details secure, do not share another person's account and tell your club administrator promptly if you believe an account or workspace has been accessed without permission.

Permitted use

Use Wadmin only for legitimate club administration and only for data you are authorised to use. Do not attempt to bypass access controls, access another club's workspace without permission, interfere with the service, upload malicious content, or use the service in a way that infringes another person's rights or applicable law.

Do not upload passwords, payment-card details, medical records or other highly sensitive information unless an approved feature and written process specifically allows it.

Club records and imports

Clubs are responsible for ensuring that roster, finance, fixture and other information they enter or import is accurate enough for their purpose and that they have authority to use it. The roster importer is designed to create or reuse players and teams only inside the selected club workspace and current season.

Official competition systems

Wadmin is an administration aid, not an official competition authority. BUCS, LUSL, Playwaze and other official competition/provider systems remain the source of record where applicable. Clubs remain responsible for checking official rules, deadlines, eligibility, team sheets, venues, results and fixture changes.

A status, reminder, suggested action, imported fixture or rescheduling workflow in Wadmin is not confirmation from a competition organiser.

Beta availability and changes

The beta is still being tested. Features may change, be corrected, become temporarily unavailable or be removed where necessary for security, reliability or product development. No uninterrupted service, fixed support response time or permanent availability of a beta feature is promised by this page.

Data protection

Personal information is handled as described in the pilot Privacy Notice. Where Wadmin processes club-workspace personal data on behalf of a controller, a written controller-processor agreement must be finalised before the service moves beyond the private-beta arrangement where the law requires one.

Content and product ownership

Participating clubs retain their rights in the club data and materials they are authorised to provide. The service software, interface and product materials remain owned by their respective rights holders. Beta access does not transfer ownership of the software or another club's data.

Suspension and ending beta access

Access may be restricted or removed where reasonably necessary to protect users, another club, the service or its data, or where a user no longer has the required club role. A club leaving the beta should agree how its data will be exported or deleted; the final commercial terms will contain a verified exit and retention process.

Commercial launch

Pricing, payment, renewal, cancellation, warranties, liability limits, support commitments, governing law and the final contracting party must be set out in a separate final service agreement before paid service begins. This beta page deliberately does not fabricate those terms.
